Refund Policy

We value your support as a sponsor of the Manchester Kentucky Renaissance Faire and strive to ensure a fair and transparent process for all parties. Please review our refund policy below, which applies to both monetary and in-kind sponsorship contributions.

For Monetary Sponsorships (Iron, Steel, Bronze, Silver, Gold, Platinum, Diamond, and Custom Tiers)

• Cancellations Before September 1, 2025: Sponsors who cancel their monetary sponsorship before September 1, 2025, will receive a full refund of their contribution, minus a $10 administrative fee to cover processing costs.

• Cancellations Between September 1, 2025, and September 25, 2025: Sponsors who cancel during this period will receive a 50% refund of their contribution. This partial refund accounts for expenses already incurred, such as event planning, marketing, and promotional materials featuring your sponsorship.

• Cancellations After September 25, 2025: No refunds will be issued for cancellations after September 25, 2025, as this is within 15 days of the event (October 10–11, 2025). At this stage, your sponsorship benefits (e.g., signage production, website listings, and social media posts) are likely in progress or completed, and we are unable to reallocate those resources.

• Event Cancellation: If the Manchester Kentucky Renaissance Faire is canceled due to unforeseen circumstances (e.g., extreme weather, public health mandates, or other events beyond our control), sponsors will receive a full refund of their monetary contribution, minus a $10 administrative fee. Alternatively, sponsors may choose to roll over their contribution to the next scheduled event at no additional cost.

For In-Kind Sponsorships (Copper Sponsorship)

• Withdrawal of In-Kind Contributions: Copper Sponsors who are unable to provide their in-kind contribution (goods, services, or volunteer time) must notify Noell Holmes as soon as possible. If the withdrawal occurs before the contribution is utilized or integrated into the event (e.g., before goods are delivered or services are rendered), there will be no penalty, and the sponsorship will be canceled without further obligation.

• Post-Approval Withdrawal: If an in-kind contribution has been approved by Noell Holmes and preparations have been made to incorporate it into the event (e.g., scheduling volunteer time or allocating space for goods), but the sponsor withdraws after September 25, 2025, we reserve the right to request a replacement contribution of equivalent value. If no replacement is provided, the sponsor may be ineligible for future Copper Sponsorship benefits.

• Non-Approved Contributions: If an in-kind contribution is not approved by Noell Holmes (e.g., due to failure to meet the 14-day pre-event approval requirement or not aligning with event needs), the sponsorship will be canceled, and no further action will be required from the sponsor.

For Signage and Business Cards (All Tiers)

• Custom Signage Purchases: If you purchase a custom sign through us for $25, refunds will only be issued if the cancellation occurs before the sign is produced. Once production begins (typically after design approval), no refunds will be issued for the signage fee. If the event is canceled, you may still claim your sign for use at future events or opt for a $10 storage fee to hold it for the next Faire.

• Business Card Printing Fees: If you opt for business card printing through us, refunds for the printing and $25 processing fee will only be issued if cancellation occurs before printing begins. Once printing has started, no refunds will be issued for these fees.

• Sponsor-Provided Signage or Cards: If you provide your own signage or business cards and cancel your sponsorship, you are responsible for retrieving your materials at the event’s end (October 11, 2025). Unclaimed items will be disposed of after 30 days, as outlined in the Signage and Business Card Guidelines.

General Terms

• Refund Processing: All refunds will be processed within 30 days of the cancellation request. Monetary refunds will be issued via the original payment method.

• Non-Transferable Benefits: Sponsorship benefits (e.g., social media mentions, signage placement, or photo opportunities) are non-transferable and cannot be exchanged for a refund or credit if unused due to sponsor cancellation.
